Position overview
The Program Site Coordinator (PSC) will provide program coordination, facilitate implementation of the project at the designated ART sites in the designated regions and will support the monitoring and evaluation processes of the I-TECH PrEP program. The PSC will facilitate regular program monitoring and analysis of the quality of the project implementation process and quantitative results to ensure complete and timely reporting of individual indicators, as well as supporting M&E to make appropriate decisions to improve the PrEP program.
The position is located in Kyiv, Ukraine, up to 30% of possible travel to regional facilities when and as needed.
The PSC will perform its duties and responsibilities under under the guidance of the head of the clinic and the head of the SI.
Program coordination, communication and monitoring (75 %)
- Monitoring and facilitating the successful implementation of all program activities, namely the provision of PrEP services in accordance with the recommended I-TECH PrEP SOP and national HIV prevention medical standards at each project site, accurate data entry into MSSD IS, data collection, verification, and reporting at all identified priority sites .
- Manage day-to-day software, technical and administrative operations within the process program coordination.
- Communicate with identified priority sites to ensure smooth software execution activities, troubleshooting, etc.
- Communicate with other I-TECH coordinators, team and management Ukraine regarding the progress achieved at each identified location and the needs for software and/or technical support.
- Communicate with identified priority sites about program progress at the site level , share and analyze monthly performance dashboards prepared in collaboration with the M&E team with each identified site to drive program improvement.
- In collaboration with the Clinic Manager and SI Manager, ensure compliance with work plans and budgets at each site.
- Participate in the coordination of educational classesin priority locations to understand and comply with funder and reporting requirements as well as clinical matters.
- Support the organization and coordination of preparation of regional roundtables and partnership meetings in designated regions to promote partnership collaboration and address challenges that impede regional PrEP expansion.
- Providing technical assistance in the development of various agreements at the site level.
- Contribute to the consideration of timely financial and program reports submitted by sites.
- Analyze program execution progress by site, identify program issues, potential risks and suggest areas for improvement and correct actions to solve problems.
- Conduct regional monitoring visits (if the military situation allows) on a regular basis to provide technical support and quality control of program activities.
- Ensure that all sites meet program requirements, including sub-grants, implemented in accordance with relevant donor policies and reporting.
- Coordination of the data collection process and assistance in data quality improvement and planned monitoring and evaluation (15%)
- Conduct periodic analysis of data entry into online PrEP registry and IS MSSD by site staff.
- Providing technical support to the M&E team on data processing and cleaning of resulting data sets, as well as data cross-checks and data validation activities.
- < font style="vertical-align: inherit">Participation in preparatory activities on the eve of monitoring visits to priority objects of regional consultants.
- Participate in creating monthly program progress reports/dashboards for each site to help programs evaluate their performance and identify areas for improvement, as well as quantify performance data site to facilitate planning of advanced site management activities.
Documentation and reporting (5%)
Preferably:
- Master's degree in business administration, program/project and/or financial management or public administration (health care), medicine or other related field.
- Fluency in English, both written and spoken.
- Experience working on grants funded by the US Government.
