We are on the lookout for an Operations Specialist who will support the Operations Manager in day-to-day practice by processing operational requests, supporting processes, procedures and tools, identifying opportunities for efficiency and productivity improvement, collecting, maintaining and visualising data and information, contributing to internal projects and ensuring effective communication between stakeholders.
Superpowers you have:
- Bachelor’s degree in Business, Operations Management, or a related field.
- 2+ years of experience as an Operations Specialist, Operations Assistant, or in a similar role.
- Good command of Microsoft Office applications, Jira, and Confluence.
- Upper?intermediate English proficiency.
- Strong interpersonal and communication skills.
- Solid organisational skills with a process-oriented approach.
- Strong analytical thinking and problem?solving abilities.
- Commitment to operational excellence and continuous improvement.
- Flexibility and ability to manage priorities in a dynamic environment.
- Self?motivation, proactivity, and a strong work ethic.
- Basic understanding of financial principles.
- Experience with Project Coordination.
Becoming part of Room 8 Group, you will:
Operational Requests Management:
- Support operational requests from the assigned Business Units.
- Monitor day-to-day operations and performance reports, proactively identify issues and recommend actionable improvements.
Business Process and Tools Support and Improvement:
- Support and adhere to established processes, procedures and tools.
- Identify gaps, bottlenecks and waste and provide improvement suggestions.
- Assist with the implementation of new processes, procedures and tools.
- Discover, document and effectively communicate BU-specific requirements and needs.
- Provide informational support on the internal processes.
- Make regular communications on process and tool changes to all internal stakeholders.
Data, Information and Access Management:
- Ensure timely and accurate update of registers.
- Manage data collection for the updating of metrics and reports.
- Assist in the preparation and review of reports, presentations and dashboards.
- Maintain and keep up-to-date BU documentation on the Confluence page.
- Maintain and update access matrices.
Corporate Systems Data Management:
- Support the change management process for system changes to avoid conflicts and maintain data integrity.
- Propose improvements for data mapping and integration for enhanced efficiency.
- Facilitate bug fixing in workflows configured in internal systems.
Internal Projects Management:
- Coordinate internal projects.
- Coordinate the internal activities timeline and highlight any conflicts in the calendars.
- Perform other tasks as assigned by the Direct Manager.
