ASSIGNMENT
IMPACT has been active in Ukraine since 2015, working primarily in government-controlled and non-government-controlled areas of Donetsk and Luhansk. Following the full-scale invasion in February 2022, IMPACT significantly scaled-up its activities, operating across the whole country to support evidence-based planning and prioritization. Under the supervision of the Field Officer by area, the Field Assistant will provide overall support for the implementation of data collection activities. The Field Assistant will support the field team(-s) by area with administrative tasks, organization of meetings/trainings/events, development of internal and external network of communication, materials, tools, etc., participate in field data collection activities, and/or as a member of field data collection team. stakeholders
FUNCTIONS
Administrative tasks
- Support FLAT with getting all necessary documents from the temporary field staff by area in a timely manner.
contracts, Codes of conduct, policy acceptance forms, monthly timesheets, acts of services provided etc.) in the specified directories/servers.- Provide administrative support for HR documentation, including printing HR documents upon request; collecting and maintaining complete documentation packagees for temporary field staff; and reviewing submitted documents for completeness, accuracy, and compliance (e.g. correct signatures, number of working days, availability of required documents and copies, document types, and accuracy of recipients’/senders’ names and positions).
- Other duties and responsibilities related to the tasks assigned to the admin functions of field unit.
Field operation tasks
- Support overall planning of data collection by area, coordinate with FLAT, Security and Area Coordinator and other relevant steps.
- Search and check relevant information in/from Internet resources.
- Manage official correspondence with a wide range of actors (local communities, authorities, facilities, etc.) about upcoming field activities under the supervision of the relevant focal point.
- Support with organizing and conducting trainings for field team(-s) (enumerators and team leaders).
- Systematization and archiving of photographic materials, including those collected through the Photo bank submission form as well as from other sources, encompassing organization, classification, and maintenance of the project photo archive in accordance with internal SoP.
- Ensure follow-up and ongoing communication, using all appropriate communication channels, with local authorities and relevant stakeholders in relation to planned field activities.
- Other duties and responsibilities related to the tasks assigned to the field work of the unit.
External engagement
- Support field team members by area in cooperation with local authorities, military structures, facilities, partners, and other relevant stakeholders.
- Participate in external team meetings and take meeting minutes as requested.
- Maintain and regularly update a centralized contact database for Ukraine, encompassing local authorities, private sector stakeholders, partner organizations etc operating in assessment areas.
- Support with organization of events with different stakeholders as requested.
- Willingness to undertake work-related travel to support the implementation of field activities.
- Other duties and responsibilities related to the tasks assigned to external engagement process of the field unit.
REQUIREMENTS
- 1 year of relevant work experience (preferably humanitarian and/or in the field of local governance)
- Understanding the structure of public authorities and local government will be an advantage.
- English skills will be an asset.
- Computer skills, ability to use Office software, particularly Google sheets and Excel, MS Word, PowerPoint, etc.
- Ability to work independently and in a team, actively advocate for own ideas.
- Stress resistance and multitasking skills are required
- High motivation to learn and work.
