Purpose of the position:

Awards Management and Partnership Development Consultant is a key support role responsible for assisting the Awards Management and Partnership Development Expert in the Kharkiv and Sumy offices. The position ensures donor compliance, facilitates financial and narrative reporting, maintains grants and partnerships records, and provides administrative support to strengthen Save the Children partnerships in these locations.

The Awards Management and Partnership Development Consultant will work closely with Program Implementation/Operations, Finance and the central Awards & Partnerships team to maintain relevance grant and partnership information and ensure timely reporting. The role also involves supporting partner onboarding processes, monitoring compliance and participating in capacity building activities of partner organizations.
In the event of a large-scale humanitarian emergency, the employee may be involved in tasks that go beyond the standard job profile and work in a flexible manner.

Basic duties:

1. Grant and Partnership Information Management

  • Maintains and updates the Award Management System (AMS) by uploading relevant grant and partnership documentation, including agreements, partner reports, procurement plans, supplemental agreements, and grant closure documents.

  • Maintains an up-to-date tracker of active partnerships, ensuring all agreements, financial and narrative are maintained reports.

  • Supports

    award management and partnership development expert

    on behalf of the Kharkiv and Sumy offices during Award Review Meetings.

  • Ensures a smooth and timely process of preparing partner grant applications(PAA) in Kharkiv and Sumy offices.

2. Reporting and compliance support

  • Assists in the preparation of financial and narrative reports for donor grants and partnership agreements, ensuring compliance with Save the Children internal processes and donor requirements.

  • Supports the review and verification of financial and program reports of partners, identifies compliance issues and informs the Coordinator.

  • Assists coordinate the interaction between all departments and partners regarding donor requirements, ensuring that all relevant stakeholders are familiar with these requirements. Escalates issues to CO Coordinator or Awards & Partnerships team in CO.

  • Interacts with Awards & Partnerships teams in Country Office to ensure donor guidelines, compliance requirements and reporting templates are up-to-date for all stakeholders.

3. Coordination of partnerships and development of the potential of partners

  • Helps in the search for new partners within the framework of the implementation of the programs of the Kharkiv and Sumy offices, and also supports the onboarding process of new partners, ensuring the completion of all necessary procedures, the signing of Memoranda of Understanding and agreements in accordance with Save the Children standards.

  • Supports the conduct of training and workshops for partners, contributing to the strengthening of their potential in the area of grant management, financial reporting and compliance with donor requirements.

  • Conducts organizational capacity assessment of partners.

  • Identifies priority needs of partners in capacity development.

  • Supports identification and mitigation of risks related to the implementation of partnerships, including operational, reputational and programmatic risks.

  • Provides and coordinates the necessary support to partners to ensure effective implementation of partnership agreements and promotes their overall development.

4. Administrative and Logistical Support

  • Provides logistical support for grant and partnership meetings, including planning, agenda preparation, and record keeping.

  • Assists in organizing and documenting grant and partnership kick-off/close meetings and regular review meetings at the regional office level.

  • Supports procurement, contract administration and payment processing processes related to partnership activities.

5. Communication and Coordination

  • Act as a point of contact for communication between program teams, finance teams and partners, ensuring effective coordination and timely resolution of issues.

  • Assists in the preparation and formatting of correspondence related to grants, partnerships and donor communications.

  • Ensures effective exchange of information between regional and central office regarding compliance updates, reporting deadlines and grant changes.

Освіта

  • Ступінь бакалавра з бізнес-адміністрування, міжнародного розвитку, фінансів, політології або суміжної спеціальності.

Кваліфікації

  • Мінімум 1–2 роки досвіду у сфері управління грантами, координації партнерств, фінансів або адміністративної роботи, бажано в середовищі НУО або в проєктах, що фінансуються донорами.
  • Сильні організаційні навички та увага до деталей, здатність одночасно виконувати кілька завдань.

  • Високі навички комунікації англійською мовою (усно та письмово), включно з досвідом підготовки звітів та координації з різними стейкхолдерами.

  • Володіння Microsoft Office (Word, Excel, PowerPoint) та досвід роботи з системами управління грантами або фінансовими трекерами.

  • Здатність ефективно працювати в мультикультурному середовищі та підтримувати професійні стосунки з партнерами й колегами.

  • Сильні навички розв’язання проблем і здатнability to proactively identify and address issues.
