Purpose of the position
Ensuring effective administrative, organizational and documentary support for the activities of the organization and individual projects, coordination of internal processes, interaction with partners, participants and the team.
Main duties
1. Administrative support of the organization
- Organization of office work and coordination of administrative processes of the NGO.
- Maintenance of internal documentation, archives, correspondence, accounting of contracts and acts.
- Preparation, collection and systematization of documents for reporting (donors, partners, controlling bodies).
- Maintenance of databases (participants, partners, suppliers, contacts).
- Preparation of internal orders, letters, memoranda, protocols.
2. Administrative support of projects
- Assisting the project team in organizing events (trainings, seminars, meetings).
- Collection and design of participant lists, signature letters, registration forms.
- Preparation of invoices, deeds, reports, copies of financial documents.
- Control of compliance with administrative procedures in accordance with donor requirements.
- Coordination logistics — booking locations, transport, accommodation, coffee breaks, purchases.
- Communication with contractors, partners, suppliers.
3. Internal communication
Additionally (if necessary)
- Help in filling out forms for donors.
- Supporting the process of preparing grant applications.
- Coordinating volunteers or participants during events.
Requirements for the candidate
Education and experience
- Higher or unfinished higher education (administrative management, management, social sciences, finance, etc.).
- Experience in an administrative or office position — from 1 year (experience in NGOs or projects — an advantage).
Skills
- Proficiency in Microsoft Office, Google Workspace, Canva, Zoom, Telegram, Excel.
- Ability to work with documents, accounts, tables, forms.
- Organization, attention to details, systematicity.
- Ability to coordinate several tasks at the same time.
- Communication, competent oral and written communication.
Personal qualities

- Willingness to learn and adhere to standards organization.
