DRB has existed in Ukraine since 2014. At the moment, more than 700 employees work in DRB in total on the territory of Ukraine. In 2024, the DRB will continue to significantly expand to implement emergency response in the social and legal protection, livelihoods, housing reconstruction and humanitarian disarmament and peacebuilding (humanitarian demining) sectors, providing direct support to responsible individuals and non-governmental organizations (NGOs), and as well as their partners.

About work:Your responsibilities will include supporting the humanitarian disarmament and peacebuilding sector. You will draft and translate official letters, participate in the drafting of communication materials and ensure timely submission of reports by HRM employees under the technical supervision of a leading humanitarian demining (HMD) project specialist. This position requires field trips (Chernihiv, Sumy, Kharkiv, Dnipro, Mykolaiv, etc.).
Your main responsibilities will be:
Supporting program activities of the humanitarian disarmament and peacebuilding sector (HRM)
- Supporting the leading specialist of the HRM in monitoring the permits of the Mine Action Center for activities related to humanitarian demining and maintaining relations with the staff of the HRM for timely renewal of permits.
- Support of the leading specialist of HRM regarding administrative requirements for obtaining/renewal of mine action certificates.
- Support of the leading specialist of HRM and HRM teams during monitoring visits of the body for accreditation of mine action activities.
- Under the technical supervision of the leading specialist of GR projects, preparation of draft letters in Ukrainian, Russian or English on behalf of the manager of the HRM program or the head of HRM and submission of all official messages.
- Cooperation with the manager of the HRM program , HRM specialists, HRM field teams and other relevant HRM staff (e.g. at the central and regional levels) to collect the necessary information and prepare high-quality, timely reports for donors, partners and the government of the countrybottom with requirements.
- Attending internal and external meetings of the HRM sector at the request of the head and manager of the HRM program, and providing support in keeping records and agendas of daily meetings and their distribution.
- Supporting the head of HRM and HRM program manager with translation of sector materials and interpretation during meetings at the intra-national level, as necessary.
- Assist in organizing meetings for the HRM team.
- Ensure timely collection and proper ordering of HRM certificates together with internal quality management team.
- Ensuring timely collection and proper maintenance of HRM registration system with external parties related to mine action, both governmental and non-governmental.
< li>Implementation of high-quality communication and cooperation with governmental and public partner organizations, as well as external stakeholders.- If necessary, maintaining communication with the DRB partnership unit regarding the management of partner organizations in the field of mine action.
>- Performing any other tasks of supporting the timing program under the technical supervision of the leading timing specialist.
Logistics support of the timing team
- Logistics and travel organization support, providing assistance to HRM staff in the preparation of purchase requests/orders for the HRM sector.
- Execution of logistics and administration tasks, ensuring effective implementation of activities, such as trainings for partners from the government sector and the civil society sector, following the work plan and budget monitoring.
- Preparation of documents related to training and training activities (for example, orders, estimates, attendance lists, reports) in accordance with Ukrainian accounting, including its verification by the DRB accountant and collection of all necessary signatures.
Main expected results:
- Official letters in Ukrainian or English to ensure official communication between the HRM sector and key stakeholders in Ukraine.
- Maintenance of minutes and agendas of daily meetings and their distribution.< /li>
- Coordination of meetings, trainings and events.
About You
To be successful in this position, we expect you to have minimum 2 years of practical experience in the position of administrator/logistics. In addition, we we also expect the following from you:
Required
- Higher degree in project management, business administration or similar professional qualification.
- Excellent MS Word, Excel and PowerPoint skills.
- Writing skills in English and Ukrainian languages.
- Time management and organizational skillsskills.
- Complete professional command of the English language.
- Fluent command of the Ukrainian language.
Would be an advantage
- Knowledge of mine action sector in Ukraine.
- Work experience in a humanitarian NGO.
- Knowledge of Ukrainian national legislation and accounting.

We offer:
- Length of contract: One year contract after successful completion of initial 3 month trial period.

- Salary and conditions will be in accordance with the Conditions of Employment of National Staff of the Danish Refugee Council.
