We are a landlord association managing a diverse portfolio of residential properties across London. Our members are property owners who rent, maintain, and manage their investment properties throughout the city. We’re seeking a proactive, detail-oriented Property Portfolio Manager to join our team and take full ownership of our rental operations.
The Role
This is a hands-on management and execution position where you’ll oversee the complete operational lifecycle of our London property portfolio — from initial tenant acquisition through to ongoing property management, regulatory compliance, and financial tracking. You’ll be the central point of coordination for everything related to our properties.
Key ResponsibilitiesTenant Acquisition & Onboarding (Full Letting Cycle)
- Create and manage property listings across rental platforms
- Schedule and conduct property viewings with prospective tenants
- Screen and vet tenant applications thoroughly
- Prepare all tenancy documentation: contracts, Right to Rent checks, references, certificates
- Organize and maintain comprehensive filing systems (digital and physical)
- Ensure all documents are properly signed, witnessed, and stored
- Coordinate move-in inventory and deposit protection
Ongoing Property Management & Compliance
- Maintain mandatory annual compliance (Gas Safety Certificates, EPC, EICR, etc.)
- Monitor and ensure full compliance with council selective/additional licensing schemes
- Stay ahead of regulatory deadlines and requirements — nothing can slip through the cracks
- Respond to tenant queries, requests, and maintenance issues promptly
- Book and coordinate tradespeople (plumbers, electricians, gas engineers, handymen, etc.)
- Liaise between tenants and contractors to schedule access and complete works
- Conduct periodic property inspections
Financial Management & Reporting
- Track monthly profit and loss for each property in the portfolio
- Monitor rental income, expenses, and maintenance costs
- Maintain accurate financial records and provide regular reporting
- Identify opportunities to optimize property performance
Problem Resolution & External Coordination
- Brief and instruct external specialists (solicitors, letting agents, surveyors) when needed
- Coordinate with local councils, utility companies, and regulatory bodies
- Handle tenant disputes, arrears, and escalation matters
- Manage emergency situations and urgent property issues
Essential Requirements
Mindset & Attitude:
- Genuine drive to work and take ownership — we need someone who’s self-motivated
- Eagerness to learn — UK property regulations, licensing schemes, and procedures can be complex; you’ll need to get up to speed quickly
- Critical thinking skills — ability to analyze situations, anticipate problems, and make sound judgments
- Strong research abilities — you’ll often need to find answers, verify regulations, and investigate solutions independently
Language Skills:
- Fluent English (minimum B2, ideally C1) — this is non-negotiable
- You’ll be making frequent phone calls to UK contractors, tenants, councils, and service providers
- Confident written and verbal communication in professional English
Skills & Capabilities:
- Exceptional organizational skills and meticulous attention to detail
- Ability to juggle multiple properties, deadlines, and priorities simultaneously
- Comfortable managing documentation, contracts, and administrative processes
- Problem-solving mindset with a calm approach to challenges
- Proficient with digital tools (spreadsheets, property management software, email, calendars)
- Comfortable learning new systems and platforms
Experience:
- Previous experience in property management, lettings, or real estate operations is a plus, but not essential if you have the right attitude and skills
