POSITION: Project Officer (Child Protection/Education)
WeWorld is looking for one (1) project officer in Kyiv
Duty station: The Project Officer will be based in Kyiv (with travel to the projects areas).

Contract Duration: 3 month contract with possibility of 6 month extension

WeWorld Background:
WeWorld is an INGO working across 27 countries and is part of ChildFund Alliance. WeWorld has a long-term experience in implementing multi-sectorial responses emergencies (e.g., Syria, Palestine, Haiti, Mali). In Ukraine WeWorld has been providing multi-sectoral lifesaving assistance in Kyiv, Kharkiv, Donetsk and Mykolaiv Oblasts, and in newly liberated areas leveraging on existing partnership and capacity to timely identify and respond to needs. WeWorld offices are so far established in Kyiv and Kharkiv.
Under the direction and supervision of the Programme Manager and Head of Programme, the Project Officer will be responsible for the coordination, implementation, monitoring, and reporting of WeWorld’s projects under the responsibility of Kyiv Office. The role entails acting as the focal point for local partners, authorities, and clusters, ensuring compliance with WeWorld and donor requirements, and supporting the strategic development of programmatic activities.
Main tasks and responsibilities
Project Management
Establish and maintain effective collaboration with relevant NGOs, CSOs, local authorities, and other stakeholders.
Support the planning, implementation, and management of project activities in coordination with local and international partners.
Develop and supervise project work plans and monthly activity plans in coordination with the Programme Manager and Head of Programme and relevant departments.
Ensure timely and accurate collection of project indicators, internal progress reports, and external donor reports.
Guarantee compliance of partners’ documentation (reports, assessments, proposals) with WeWorld and donor standards.
Facilitate regular meetings between WeWorld staff and partners to ensure alignment on project objectives and encourage feedback.
Monitoring & Evaluation (M&E)
Develop and track performance indicators related to project activities.
Collect, analyze, and interpret data using digital tools (e.g., KOBO) and integrate findings into project reporting.
Recommend programmatic improvements and support the development of feedback mechanisms.
Coordination and Representation
Represent WeWorld in coordination meetings (e.g., Clusters, TWiG) and with local authorities, as delegated by the Projects Supervisor and Head of Programme.
Maintain transparent, regular, and supportive communication with partners, stakeholders, and relevant networks.
Promote collaboration and information sharing across partners and WeWorld teams.
Proposal Development and Reporting
Contribute to the design of project proposals, including logframes, indicators, and budgeting elements.
Draft high-quality narrative reports that capture results, lessons learned, and strategic recommendations.
Contribute to internal knowledge management and documentation processes.
Maintain accurate filing and archiving systems for project documentation (both hard and digital copies).
Provide timely contributions to monthly SitRep reports and other internal updates.
Share best practices and lessons learned to strengthen organizational knowledge.
Compliance and Audit
Ensure adherence to WeWorld and donor procurement and operational procedures.
Verify the contextual relevance of global manuals and guidelines.
Guarantee compliance with local legislation, donor regulations, and WeWorld internal policies.
Prepare accurate documentation for internal and external audits.
Support data collection for market analysis and contribute to the development of procurement SOPs.
Other Duties
Perform any other tasks requested by the Programme Manager and Head of Programme, to support the effective implementation of WeWorld’s mission in Ukraine.
Job specifications
ESSENTIAL REQUIREMENTS
Qualifications and Knowledge
Bachelor's Degree or its International Equivalent in Business Administration, Communications, Education, Human Development and Social Studies or Related Field.
Ukraine nationality
Fluency in English is essential.
Professional experience
At least 2-3years of experience in in project management or administrative assistance, including 1 year with humanitarian organizations or governmental institutions with specialization in Child Protection and/or Education.
Strategic Planning experience with strong analytical skills.
Representation experience with institutions and participation in coordination meetings.

DESIRABLE REQUIREMENTS
Previous work experiences in Kyiv and in child protection/education projects.
