Goal:Filling the vacant position of Project Manager for the development, implementation, control of programs/projects in accordance with the approved concept of the Organization.
Requirements:
- Higher education (social sciences, management, international relations, humanitarian aid);
- Experience in project/program management in the NGO, humanitarian sector (1 year);
- English language - professional level (not lower B2);
- Fluency in the Ukrainian language;
- Experience in working with budgets and financial reporting;
- Proficiency in modern digital management tools (CRM, BI systems, Excel, Word, Google Drive);
- Knowledge of project cycle management and basic M&E approaches;
- Excellent organizational skills, ability to multitask and meet deadlines;
- Effective communication and problem-solving skills;
- Flexibility, stress resistance, ability to work in conditions of uncertainty;
- Experience in writing grant applications;
- Willingness to travel to project sites;
- High level of analytical skills and ability make strategic decisions.
Duties:
1. Planning and development of the project/program:
- Development of detailed plans for the implementation of programs/projects in accordance with the approved concept
- Preparation of logic cards, detailed calendar plans and budgets
- Determination of results and impact indicators (KPI, outcome/output) indicators)
- Adaptation of program documents to the requirements of specific donors
2. Monitoring, evaluation and reporting:
- Daily/weekly monitoring of the implementation of planned activities
- Collection of data for evaluation of indicators (questionnaires, focus groups, interviews)
- Preparation of interim and final reports for management and donors (technical and financial)
- Maintaining project documentation and ensuring its proper storage
- Analysis of risks and the impact of external factors on project implementation
3. Budget and finance management:
- Control over spending of project funds in accordance with the approved budget
- Close interaction with the financial department to coordinate all operations
- Forecasting financial needs and budget correction if necessary
4. Interaction with beneficiaries and stakeholders:
- Working directly withby target groups (organization of distribution, registration, provision of services)
- Building and maintaining relations with local authorities, public organizations, community leaders
- Resolving issues and conflicts that arise during project implementation
- Ensuring the principles of security, confidentiality and non-discrimination
5. Communication and coordination:
- Constant communication with line manager regarding progress and issues
- Interaction with other departments of the organization (communications, logistics, administration, finance)
- Participation in coordination meetings with representatives of the charitable sector
- Preparation informational materials about the project for the communication department
- Participation in regular team operational meetings
6. Quality and impact management:
- Ensuring compliance with service quality standards and humanitarian standards (e.g. Core Humanitarian Standard)
- Continuous collection of feedback from beneficiaries to improve operations
- Analysis of achievement of project objectives and its real impact on people's lives
- Identification successful practices and lessons learned
7. Completion of the project and capitalization of experience:
- Organization of the closing of project activities and financial operations
- Preparation of the final report and analysis of achievements
- Systematization of knowledge, methodologies and creation of templates for future projects
- Conducting a presentation of the results for the organization team
