Transitional Justice and Missing Persons Mechanisms (TJ-MPM) project responds to public demand for justice by responding to the consequences of serious violations international law and contributing to the strengthening of social stability. The TJ-MPM project supports the efforts of state bodies and civil society organizations (CSOs) to ensure justice and recognize the rights of victims at the local level in order to alleviate social tension and form key elements of the national architecture of transitional justice aimed at maximally strengthening social cohesion.
Position description:
responsibilities
:- Support in the implementation of project activities in accordance with the project work plan, adhering to technical standards and deadlines.
- Coordination of logistical aspects of activities and field visits (venue, transport, materials, lists participants).
- Maintenance of calendars, trackers and schedules for key results and events.
- Preparation of minutes of meetings, notes and plans for further actions.
- Assist in the preparation and formatting of reports, presentations, concept notes and translation of project documentation.
- Maintenance of a digital storage system for contracts, reports, correspondence and results.
- Organizational support for interaction between technical specialists, regional teams and management.
- Assistance in the preparation of procurement documentation (scope of work, specifications for procurement).
- Control of payments, contracts and performance of suppliers and consultants.
- Interaction with financial and administrative teams for timely implementation of administrative operations..
- Collection and systematization of photos, reports and invoices from the project implementation sites.
Necessary skills and qualifications:
- Ступінь бакалавра в галузі державного управління, міжнародних відносин, соціальних наук або в суміжних галузях.
- Мінімум 2 роки досвіду роботи на адміністративній, координаційній або проектній посаді, бажано в проектах міжнародного розвитку.
- Сильні організаційні навички та навички багатозадачності.
- Досвідчений\а користувач\ка Microsoft Office Suite, включаючи Excel та PowerPoint.

Location:

Subordination:
Асистент проєкту підпорядковується безпосередньо Проєктному менеджеру та координує роботу з іншими членами команди за необхідності.

PFRU’s objective is to strengthen Ukraine’s resilience in the face of Russian aggression by delivering essential support to local communities in collaboration with the Ukrainian government, civil society, media and the private sector.
The Transitional Justice and Missing Persons Mechanism Project (TJ-MPM Project) responds to public demand for justice by addressing the consequences of serious violations of international law and fostering societal resilience. The TJ-MPM Project facilitates state and civil society organisations (CSOs) responses on justice and recognition for victims on a local level, in order to mitigate emerging social tensions, and ultimately build the core elements of a national TJ architecture designed to maximise social cohesion.
Position Description:
The Project Assistant will play a key support role in day-to-day coordination, administration, and communications, ensuring the smooth functioning of project operations.
Key Responsibilities:
- Support the implementation of project activities according to the project work plan, ensuring alignment with technical standards and deadlines.
- Provide logistical support for meetings, workshops, and field visits (booking venues, transport, printing materials, coordinating participant lists).
- Maintain calendars, trackers, and timelines for key deliverables and events.
- Draft meeting minutes, summary notes, and follow-up action plans.
- Support the preparation and formatting of reports, presentations, concept notes, as well as the translation of the project documentation.
- Maintain a digital filing system of contracts, reports, correspondence, and deliverables.
- Assist in internal communication flows between technical experts, field teams, and management.
- Assist in preparing procurement documentation (TORs, purchase orders).
- Follow-up on payments, contracts, and deliverables with vendors and consultants.
- Coordinate with the finance and administration teams to ensure timely processing of administrative transactions.
- Collect and organise photos, reports, and bills from site visits.
Required Skills and Qualifications:
- Bachelor’s degree in public administration, international relations, social sciences, or a related field.
- Minimum 2 years of experience in an administrative, coordination, or project support role, preferably within an international development project.
- Strong organisational and multitasking skills.
- Proficient in Microsoft Office Suite, including Excel and PowerPoint.
- Detail-oriented, proactive, and responsive to deadlines.
- Strong interpersonal and communication skills.
- Ability to work both independently and as part of a team.
- Cultural sensitivity and commitment to inclusive development.
- Strong communication skills (both verbal and written).
- Fluency in Ukrainian and English.
Location:
This is a full-time, office-based position in Kyiv. Remote work is possible occasionally with managerial approval.
Reporting:
The Project Assistant reports directly to the Project Manager and coordinates work with other PFRU team members as needed.
