The E-Governance Academy (eGA) is an Estonian non-governmental and non-profit organisation dedicated to digital transformation, e-governance, e-democracy, and national cybersecurity. eGA implements digital transformation projects worldwide and is expanding its activities in Ukraine through EU-funded initiatives.

PROJECT ASSISTANT

Main tasks:

· Prepare and write minutes for weekly team meetings.

· Organise missions and delegation trips, including: preparing and coordinating travel budgets; reviewing mission decisions and reports; arranging tickets, transfers, accommodation, insurance, and other required services; collecting and recording participant feedback.

· Support the organisation of events by conducting venue searches and market research, negotiating with suppliers, reviewing and concluding contracts, coordinating all event-related activities, and ensuring proper payment processing and documentation.

· Organise online and onsite meetings: prepare agendas, compile lists of participants, draft meeting minutes, and design presentations.

· Review and edit reports and draft other texts in English and Ukrainian.

The suitable candidate will have:

• Minimum 2 years of experience in administrative support, project coordination, event management, or a similar role;

• Proven experience in organising business trips, events, and meetings (online and onsite);

• Strong command of Microsoft Office applications, including Word, Excel, Outlook, PowerPoint and Teams;

• Strong organisational skills and attentiveness to details;

• Excellent written and verbal communication skills in English (C1 level) and Ukrainian, including the ability to edit texts and review reports.
