General information about the team / department and its role in the organization:

Regional team of Dnipropetrovsk / Kharkiv region is structurally part of the program department of the Eastern region. Its activity covers the settlements of Dnipropetrovsk and Kharkiv regions. 

The team's area of ​​responsibility includes the following sectors of activity: 1) food safety; 2) hygiene and sanitation; 3) housing and materials for life; 4) protection. 

is responsible for supporting timely and effective planning, implementation and monitoring of emergency response and early recovery activities in the response area, as well as archiving all assigned and received documents in the proper order.

Responsible for effective and high-quality implementation of programs for economic support of the population and business development. Closely cooperates with other specialists of the program.

Specific duties and responsibilities:

  • Executes the implementation plan of project activities approved by the manager, timely informs the direct manager about any circumstances or risks that may prevent timely and high-quality performance of tasks.
  • Ensures proper dissemination of information about the terms of the project among interested parties.
  • Monitors the dynamics of received applications for participation in the project. In case of an insufficient number of applications, informs the manager and suggests ways to improve the effectiveness of information activities.
  • Supports the process of evaluating applications for participation in the project, including conducting telephone interviews and field visits:
    -At the first stage evaluations: analyzes the information provided by the applicant, evaluates the economic feasibility of the proposal, its compliance with the conditions and goals of the project, and makes assumptions about the realism of the business plan. -Checks public information about the business owner, forms comments and questions to the applicant, collects information about the relevant business area. If necessary, consults with the Senior Specialist of the program. -Maintains the processmaking a decision on further consideration of the application. -During the telephone interview: clarifies additional information and verifies the data provided. -During the field visit: checks the conditions of future employment and examines the information provided. Collects all necessary information and documents for making a final decision and preparing a contract. Documents the results of the visit in a report, which includes its own reasoned assessment of the possibility of granting a grant for each application.
  • Participates in the work of the Committee for Decision-Making on Grants, substantiates its conclusions and participates in the discussion and adoption of the final decision .
  • Forms the case of the beneficiary, checks the presence of all the necessary documents for archiving in accordance with the established requirements.
  • Prepares and ensures the signing of an agreement on the provision of financial charitable assistance (business grant), transfers it for archiving . Coordinates the preparation for the payment of financial aid in cooperation with the accounting department.
  • Accepts complaints that arise in the process of performing duties by him or his colleagues and forwards them to the head of the department.
  • Documentation and Reporting: • Collects and provides timely project progress updates (daily/weekly/monthly), including reports from monitoring, field evaluations, and external meetings. • Organizes the archiving of project documentation, provides scanning and uploading of documents to the ELO electronic system. • Contributes to the preparation of quality reports, plans, and presentations of project results. • Performs other tasks as assigned by the manager, necessary to achieve the goals of the project.

External relations: Establishes and develops relations with local authorities, other organizations that carry out humanitarian activities and territories of the region.

Necessary experience and qualifications :   

  • Higher degree in economics, business, marketing or related education.
  • Experience in livelihoods, collaborative programs preferred with the business sector, providing grant support to organizations and individuals.
  • Experience of working in complex and unstable contexts (preferred).
  • Facilitation skills for large and small groups.
  • li>Proven ability to coordinate with diverse groups of employees, stakeholders and local authorities, building and maintaining good relationships.
  • Demonstrated patience, enthusiasm and strong interpersonal skills with attention to detail, ability to follow procedures, meet deadlines and work both independently and in collaboration with team members.
  • Proven knowledge and respect for key humanitarian principles.
  • Experience in facilitating and/or conducting trainings.
  • Computer skills (in particular Microsoft Word and Excel) and the ability to type in English.
