INTERSOS Ukraine is a subdivision of the international humanitarian organization INTERSOS (Italy).

We provide support to victims of emergencies, armed conflicts and natural disasters with particular attention to the most vulnerable categories: children, women, elderly people, displaces persons, who were forced to flee their homes and moved to safer places and also to those who cannot leave the dangerous regions and are under constant threat.

INTERSOS teams are present in Odesa, Kyiv, Kharkiv, Mykolayiv, Kherson and now expand their activities in Sumy.

INTERSOS Ukraine provides economic, humanitarian and medical aid, psychological support, organizes educational activities, gives medicines and equipment to the hospitals, provides shelter and ensures basic human needs. During one year of our work in Ukraine we provided support to more than 100 000 people. 75 000 of them received aid in the sphere of protection, prevention and emergency care. 3 000 medical consultations were carried out in remote regions, which are not covered by the official heath care system. 49 medical institutions received medicines, medical devices and equipment.

We are opening a vacancy of the HR Assistant (Менеджер з персоналу) in Mykolaiv

Duration of contract — 6 months with possibility of extension

Main Purpose

  • Supporting bases National Staff administration briefing and induction to the staff, preparation of contracts, scheduling interviews/tests/follow up on reference check, creation of Intersos emails, general questions concerning working conditions, follow up base staff needs/performance/leaves/trainings.
  • To be responsible for the implementation of Human Resources policies and procedures, and the correct administrative management of all staffs working in the project according to HR Coordinator’s indications and INTERSOS procedures, in order to ensure legal compliance to local laws.

Hierarchical: Field Base Manager

Functional: HR Coordinator, HR Manager

Tasks

  • Guide and support managers and staffs on HR policies and procedures and monitor the implementation of the rules in line with the Internal Regulation and Labor Law
  • Under supervision of the HR Manager, HR Coordinator executes administrative, legal related tasks and payroll procedures ensuring that all data related to monthly salary calculation of national employees of the project are correctly collected (days off, unpaid leaves, sick leaves, overtime, etc.)
  • Ensure that all staffs in the project (National, international, visits, etc.) are properly briefed and/or inducted.
  • Support the bases with performance management, capacity building, disciplinary measures and other HR matters
  • Conduct interviews and select applicants who meet the specified criteria for the position as per the recruitment process and in close coordination with the line managers
  • Ensure hiring, carry out amendments and contract termination formalities for employees at project level, according to labour local laws, preparing all mandatory tax declarations in order to ensure legal compliance
  • Assist the managers to draw up annual holiday planning and staff shifts in order to forecast HR needs and to ensure HR availability for the project activities
  • Enter data into the HR database and personal files and keep them up-to-date in order to facilitate HR processes management. Archive the personnel documentation and keep it in order
  • Under the supervision of the HR Manager, update regularly the project’s organizational chart and Job Descriptions in consultation with relevant staffs (i.e. Head of Mission, Heads of Base, Project Managers, Programme Coordinator, CFC, etc.)
  • Follow up on the implementation of the staffs performance appraisal system
  • Plan and conduct internal HR workshops and trainings for national staffs according to organisational needs
  • Support, in close coordination with the HR Coordinator, HR Manager, the managers in detecting training needs through consolidating staffs performance result, in properly evaluating people performance and in potential identification, and follow up on action plans to improve people capabilities
  • In close collaboration with the HOB, HR Coordinator, HR Manager looks for the best options to avoid and/or solve possible labour conflicts in the project
  • Support the HR Coordinator in translating documents into local language. Assists the HR Manager in meetings upon request
  • Prepare and share statistical HR reports as requested

Requirements

  • University Degree in Human Recourses, Legal, Phycology, Economics or related field preferred
  • Minimum 2-year relevant professional experience in HR, trainings
  • Computer literacy (Word, Excel, Power Point)
  • Respect and non-discriminatory attitude
  • Good interpersonal and communication skills, flexibility
  • Strong planning and organisational skills
  • Ability to work under pressure and as part of a team.
  • Fluency in the local language (written and spoken)
  • Good English writing, speaking and listening skills
