Personal Assistant to CEO

Onicore Inc.  is an IT company that provides out-of-the-box solutions and products in the fintech-related field. We specialize in a wide range of financial and blockchain technologies that allows companies to develop fintech products, organize the chaos, do less hardcoding and focus on business growth.

Due to the demanding schedule of our CEO, we are seeking a highly reliable and business-oriented assistant to manage routine tasks and support executive functions effectively.

Responsibilities:

  • Plan and manage CEO’s work schedule and ensure adherence to deadlines
  • Organize and coordinate meetings, document key discussion points, and track follow-ups
  • Handle and systematize CEO’s emails (prioritize emails, delegate tasks and responsibilities, respond on behalf of CEO etc)
  • Process requests to CEO, provide responses to such requests
  • Plan and organize CEO’s time, maintain calendar, control CEO’s presence on agreed meetings
  • Prepare and manage documentations, including signatures
  • Compile reports from Heads of different departments
  • Create presentations and meeting paperwork upon CEO’s request
  • Organize business and personal travel, including booking flights, hotels, and transfers
  • Assist in planning conference meetings and public speaking engagements, help in extending CEO’s professional network
  • Manage social media presence and CEO’s personal branding
  • Monitor and manage interaction with accounting representatives
  • Cooperation with different inhouse departments on behalf of CEO
  • Handle personal and business tasks from CEO, including personal shopping, gift order, apartment and office search
  • Suggest improvements for operational processes
  • Provide support and monitor visa and exit permit issuing
  • Maintain relations with partners and clients, organize greetings for significant events.

Requirements:

  • Proficiency in English and Ukrainian (both written and spoken), russian is a plus
  • Minimum of 1 year of experience in a similar role
  • Strong ability to prioritize tasks and structure information effectively
  • Experience in CRM systems, Jira, Confluence, G-Suite
  • Ability to work independently and adapt quickly
  • Excellent negotiation skills
  • Ability to handle multiple tasks and large volumes of information
  • Higher Education
  • Experience and ability to work with confidential and sensitive data
  • Ability for after-hours communication if required
  • Genuine interest in business
  • Ability to travel for business purposes and flexibility to occasional trips
