The company is an international FMCG company. Main responsibilities: 

  • planning the work schedule of the manager;

  • monthly updating calendars taking into account travel plans managers;

  • tracking the main conferences / seminars / meetings in which the team will participate;

  • tracking important deadlines for submitting documents (for example, budget estimates, business plans etc.);

  • planning and organization of business trips of the manager;

  • coordination of visa requirements and ensuring the preparation of travel documents;

  • providing video and telephone conferences;

  • coordinating the approval of marketing invoices and other documents from the regional office and headquarters;

  • creation and regular updating of databases (for example: business cards, mailing lists, etc.);

  • work with couriers and delivery services;

  • providing support for the general director;

  • ensuring the proper condition of the office premises;

    supporting communication with the administration buildings;

  • coordination of work with service providers (telephone communication, utility services, repair work, maintenance of office equipment);

  • management and coordination of all management tasks office;

  • management of the planning and organization of all events, including field events and seminars;

  • coordination of regular and one-off meetings of the department, development of the agenda, drafting and distribution of minutes meetings;

  • operational assistance in conducting important events and programs.

What is important to us when choosing a candidate: 

  • work experience as a personal assistant / department assistant / receptionist / secretary;

  • knowledge of the English language at the Upper-intermediate level and above;

  • deep knowledge and experience with the MS Office suite;

  • experience with the SAP system and the Vchasno programwill be an advantage;

    attention to details, responsibility, the ability to establish contacts with colleagues and partners.
