Purpose

Under the direct supervision of the project manager/coordinator, the specialist in working with partners (contracts, reporting) will work with public organizations, charitable funds, communities (Civil Society Organizations) on the submission of grant proposals, drawing up contracts and/or will be responsible for compliance and dissemination of ACTED's program policies, guidelines, rules and policies.

He/she will be responsible for making grants, ensuring compliance with rules and policies during grant implementation, and providing support to selected civil society organizations regarding reporting and any contractual issues. 

He/She will also be responsible for capacity building needs and coordination with other  professionals, ACTED coordinators for cooperation and with local authorities.

Project Management and Reporting:

Planning, Implementation and Reporting

  • Coordination with public organizations regarding the writing, development and reporting on the implementation of grant proposals. 
  • Contributes to grantmaking efforts, including the grant approval process and post-grant follow-up. Ensures deadlines are met.
  • Monitors grant compliance after support. Followed by financial agencies.
  • Conduct due diligences of implementing partners, participate in the further implementation of the mitigation plan
  • Controls the monthly flow of documentation from the base office and Partners to the central office
  • Check the level of documentation compliance with ACTED requirements and policies
  • Help in developing strategies, deadlines, solving personnel issuesanh,  develops grant templates in accordance with funding guidelines.
  • Maintains necessary records, files, reports, databases and resource materials related to partnership activities.
  • Monitoring grants for compliance with legal, financial and programmatic requirements, including but not limited to ensuring that grant requirements are properly documented in grant files and database. 
  • Monitors and documents processes, forms, templates, reports, and grant data to ensure full compliance with internal controls and legal requirements.
  • Solution of complex grant scenarios; consultation/communication with financial and/or legal advisors

Logistics

  • Provision of accurate order forms in a timely manner if required by line manager
  • Confirming quality of material selection and application
  • Ensuring proper management and use of orders
  • Planning team travel based on available FLAT and relevant policies

Finance

  • Support line manager in reviewing BFU(s) and provide accurate forecasts
  • Supporting the line manager in forecasting the monthly cash requirements of the project and submitting it to the AC
  • HR

    • Commitment to continuous learning through trainings and timely identification of needs and opportunities for capacity building, in coordination with line manager / TC / HR Department.

    Transparency and Compliance

    • Ensuring compliance with internal acted procedures and donor procedures
    • Accurate record keeping of project documentation, including photographs and proper filing of meeting minutes, databases, attendance tables, evaluation reports/documents, review and updating of databases, etc., in soft and hard copy

    Other

    • Ensure the translation of various documents (for example, reports, protocols, lists of beneficiaries, information signs) at the request of the line manager (if possible

    Perform any additional task as required by the line manager.
