We invite you to take up the position of Digital Archive Construction Manager.

Qualification requirements:

    • Higher education in the field of information technology, document science or related fields.
    • Additional certificates in records management, ECM/DMS, data governance will be an advantage.
    • Work experience of 2-3 years in the field digital archiving, documentation management or information control. 
    • 2+ years of project management experience, preferably in the field of digitization or document management.
    • Experience implementing digital transformation projects from initiation to completion.
    • Knowledge of project management methodologies (Agile, Waterfall or hybrid).
    • Understanding of electronic document management, storage, digital archiving processes.
    • Knowledge of ISO, GDPR and national archiving legislation of electronic documents.
    • Basic knowledge of KEP, PDF/A, WORM, GDPR, information security.
    • Skills in setting requirements for IT systems, communication with developers.
    • Developed analytical thinking and the ability to effectively solve complex tasks.
    • Excellent communication skills and the ability to interact with various stakeholders.
    • Proficiency in English at high level.

Key responsibilities:

    • Development and implementation of the Bank's Digital Archive concept (architecture, processes, integrations).
    • Coordination of integration with existing document management systems: SED, Vchasno, WinFront, SharePoint, own databases.
    • Formation of taxonomy of documents (classification, metadata, life cycle).
    • Definition of collection requirementstracking of documents, in particular legally significant ones (with KEP).
    • Organization of processes of digitization, OCR, PDF/A-conversion, data quality control.
    • Development of access, security and storage policies (WORM, encryption, backup, DR).
    • Management of a small team of archivists.
    • Building a reporting and audit system for the work of the archive.
    • Preparation of regulatory documents: archive policy, SOP, user manuals.
    • Manage the end-to-end implementation of the digital archive system from requirements gathering to launch.
    • Develop and maintain project roadmaps, timelines and resource allocation plans.
    • Coordinate work between IT, Operations, Compliance and business units to ensure alignment.
  • Vendor relationship management and deliverables of the system providers.

  • Establishing governance structure for digital archive and access control processes.

  • Monitoring project KPIs, budget and risk management strategy.

  • Facilitating UAT coordination and ensuring successful implementation among users.

  • Preparing regular status reports for senior management and stakeholders (in English) 400">European work standards and values.
