Project "Emergency assistance and evacuation support" from Team4UA offers a comprehensive solution that provides safe transportation and temporary housing for civilians from risk areas. The TERA Consortium, created by Team4UA together with Ukrainian NGOs, includes East SOS as a leading associate partner, as well as the Charitable Organization Aid Coordination Center and Angels of Salvation as members of the Consortium, coordinating evacuation efforts with a focus on vulnerable population groups.

Team4UA Description:

Team4UA is a Ukrainian charitable organization established in March 2022 with experience in the field of emergency relief, recovery and innovative reconstruction projects. We cooperate with UN agencies (WFP, UNICEF) and international organizations and foundations (Mercy Corps, TED). Since its founding, Team4UA has provided humanitarian assistance to 2.3 million people, including implementing projects such as the construction of a school in Lviv using 3D concrete printing technology.

Team4UA was created by a team of former technology entrepreneurs who combined their skills and experience to solve the most important long-term needs of Ukraine. The organization has extensive experience working in frontline regions and areas most affected by hostilities, including near the border with Russia. Since the beginning of the full-scale invasion, our activities have covered the most difficult-to-reach regions, as well as those with the highest concentrations of internally displaced persons or people returning home.

Team4UA teams are based in Lviv, where they provide administrative and financial support, in Kyiv, where our headquarters is located, and in Dnipro, where operational activities, monitoring and evaluation of projects are carried out.

< b style="font-weight: 700">General summary of the position:

Under the leadership HR manager A specialist in personnel training is responsible for quality management of the full cycle of work of Team4UA employees. A training specialist assists the HR manager in personnel management, performance evaluation, compensation, as well as in reviewing personnel policies and relational issues.employee relations. Duties include processing employment documents, updating the HR database, preparing reports, letters, training materials and responding to HR inquiries. During the recruiting process, the Personnel Training Specialist ensures compliance with all policies, rules and regulations of Team4UA. Particular attention is paid to confidentiality, accuracy and compliance with the requirements for processing HR documents.

Tasks and duties:

  1. General: li>

    • Conduct the entire recruitment process, starting with the preparation of job descriptions, involving department heads, requests for the creation of positions, announcements, interviews and accompanying documentation, selection process, manage data collection, etc.
    • Ensure review and audit of personnel files and job documents and also monitors the relevance archive and properly record all HR files and vacancy documents both in paper and electronic format.
    • Maintain HR, HCM and leave tracker databases, monthly update and maintain properly.
    • li>Assist the HR manager in conducting performance evaluations of team members.
    • Control the vacation schedule of employees to ensure adequate rest, including determining the exact holidays days in advance (as far as possible) and inform all team members about it.
    • Conducting the process of outboarding dismissed employees (team members) in accordance with Team4UA personnel policy and procedures, maintaining files of dismissed team members.
    • li>Responsible for familiarizing all new employees with Team4UA systems, policies and procedures, as well as organizing induction trainings for new employees.
    • Execute the full life cycle of activities for attracting/recruiting people for various departments and job levels in accordance with the established recruitment process and HR policy.
    • Preparation and training for new employees employees on the mandate and values ​​of Team4UA, humanitarian standards and principles, protection updates, internal policies and procedures Team4UA.
    • Ensure that all HR-related documents are properly prepared for review and approval by the HR Manager and/or senior management.
    • Ensure that all team members adhere to all Team4UA policies and procedures as described above.
    • Assist HR Manager, CFO and finance department in monthly payroll (check and upload support staff time sheets, overtime and vacation timesheets to the database).
    • Make sure all team members and new team members have up-to-date Team4UA badges and up-to-date contact data for emergency cases.
    • Other tasks assigned by the HR manager are related to with personnel management.

    • Support the personnel manager in the implementation, compliance and general understanding of personnel policy.
    • Support the HR manager in implementing controls to ensure transparency and impartiality of HR processes and systems.
    • Ensure availability proactive and stable personnel recruitment planning system.

    3. Department management:

    • Develop team potential by deepening understanding of roles and supporting career growth. 
    • Provide team members with information, tools and resources to improve productivity and achieve goals. 
    • Maintain accountability and provide constructive feedback through regular one-on-one interviews and evaluations. 
    • To create a work environment where excellence and mutual respect are valued. 
    • Hire, onboard and support employees as needed. 
    • Motivate the team to invest in the shared culture, mission and vision of Team4UA.

    Knowledge and experience:

      < li>Higher education in the field of personnel management or equivalent relevant education.
    • Minimum 2-3 years of experience in the field of personnel management, related fields and talent acquisition, preferably in a local and/or international NGO.
    • Interviewing skills
    • Demonstrated skills and competencies in a recruitment planning system
    • Proven ability to transform HR data into informative reports for senior management.
    • An excellent level of Ukrainian and English language skills (B2/C1) is required.
    • Experience of working with ethnically diverse team in a sensitive environment.
    • Attention to details, following procedures, meeting deadlines, working and solving problems independently and collaboration.
    • Ability to multi-task and prioritize effectively
    • Computer proficiency (MS Office)
    • Strong communication skills required

    Working conditions: We offer work in a young, ambitious team that is actively developing and has a clear vision of its mission. The position will be based in Kyiv with a comfortable office in the very center of the city. And there is also the possibility of remote work (according to the previous consent).
