The International Charitable Foundation "Caritas of Ukraine" is looking for a HR manager to join its team, who will be the key contact person on HR issues for an established separate project team and will be responsible for coordinating personnel processes in cooperation with functional HR specialists.
Main duties:
- performing the role of HR coordinator for the project team and ensuring coordinated work of HR processes under the supervision of specialized HR specialists;
- coordinating and closing the recruiting processes for the project team recruiters and personnel specialists of the HR team, the project manager and partners; tracking requests and deadlines;
- coordinating the processes of concluding, amending and extending employment contracts in cooperation with HR specialists;
- monitoring vacation schedules of project employees, ensuring timely submission of applications, passing approvals and compliance with project needs;
- coordinating the administration of personnel vacations, ensuring proper communication, document flow and timely informing of interested parties parties;
- fulfilling the function of a coordination point for staff care issues for the project team: facilitating employees’ access to psychological support, group supervision and team-building activities in cooperation with relevant specialists;
- ensuring proper maintenance and preservation of HR documentation of the project team;
- ensuring timely communication, monitoring the implementation of HR requests, agreements and deadlines between all involved parties;
- promoting compliance with internal HR policies and procedures within the project team;
- preparation of regular coordination HR updates for the HR head and project manager.
Requirements:
- Complete higher education in the field of personnel management, psychology, management, law, social sciences or humanities.
- At least 3 years of experience in recruiting, HR coordination or HR support of project teams.
- Experience working in project teams, international or non-governmental organizations and in an environment with a matrix management structure is desirable.
- Availability of written recommendations from the previous employer.
Necessary knowledge and professional skills:
- Proficiency in Ukrainian - fluent, English - at least B2.
- List of programs and operating systems (level of proficiency):
- MS Office (Word, Excel, Outlook) / Google Workspace – confident user.
- online communication tools (Teams, Zoom) – confident user.
- operating systems Windows / macOS – confident user.
