The "Man in Need" organization operates in Ukraine since the beginning of August 2014 and since then, humanitarian programs have been expanding rapidly. Currently, "Lyudyna v bidi" is one of the main humanitarian organizations in Ukraine that provides neutral and independent humanitarian assistance to people affected by the conflict.

General Position Information

Under the overall direction of the Human Resources Manager, the Human Resources Assistant is responsible for support in terms of personnel administration and personnel selection and personnel development in accordance with the legislation of Ukraine and the policies established in the branch of the company "Man in Need" in Ukraine.

Characteristic duties and responsibilities

in paper and electronic form, in particular:
  1. prepares packages of documents for employment and provides them to new employees to fill out, advises and checks the correctness of their filling and presence of signatures;
  2. < li>ensures the availability of all documents for employment, which are required in accordance with the legislation of Ukraine and the internal policies of the Branch, in paper form and placing them in personal files in the archives of the personnel department in the city of Lviv;
  3. forms personal files in ELO and ensures that they contain the necessary documents and personal data required by internal HR policies;
  4. ensures the physical storage of employment contracts, additional agreements to them and job instructions in personal affairs in the archive in Lviv;
  5. >
  • Selects from the archive and provides originals or scanned copies of documents for audit at the request of the Human Resources Manager;
  • After receiving business trip permit forms, prepares orders for employee business trips within and outside of Ukraine in accordance with the legislation of Ukraine, ensures that they are signed by all relevant parties and archives them in a separate folder in the archive in Lviv;

Recruitment >:

  • Assists in the recruitment process for junior and mid-level positions and ensures compliance with quality standards of all procedures described, in particular, in the Personnel Management Manual and other internal policies:< /li>
  1. after receiving the Request for opening a vacancy and the Job Description of the publicadvertises vacancies on Ukrainian employment portals;
  2. updates the Recruitment Tracker, displaying all stages of the process;
  3. ensures the processing of received resumes and their search on the Internet and forms a long list for the hiring manager ;
  4. advises the hiring manager on further stages of recruitment and provides recommendations on their implementation;  
  5. conducts telephone interviews for the purpose of initial selection and organization of subsequent stages of the interview (practical test or interview with the hiring manager)
  6. organizes interviews and personally conducts them - determines the most optimal method or techniques checks the competencies/qualifications required for the position together with the hiring manager;
  7. maintains the database of the selection process and ensures that accurate data about candidates is entered into it; 
  8. gathers recommendations for selected candidates in accordance with internal procedures and policies;
  9. verifies selected candidates in the Watchdog system;
  10. provides information to the Security Department about selected candidates for conducting security checks;
  11. prepares and sends employment offers to selected candidates;
  12. provides information about new employees to the Human Resources Specialist and Senior Human Resources Specialist for further employment actions;
  13. sends written rejections to all unsuccessful candidates;
  14. archives recruitment documentation in the employee's personal folder in ELO (security checks and Watchdog, completed test tasks, recommendations and letters of acceptance of the offer);

Required experience and qualifications

  • Higher education in the field of personnel management, law, psychology, sociology or other relevant field;
  • Experience in personnel administration and/or recruitment for at least 2 years;
  • Experience in conducting personnel records in accordance with the legislation of Ukraine;
  • High level of organization, attention to detail, ability to work with a large amount of documentation;
  • Ability to work in a team and effectively interact with various structural divisions of the organization;
  • Excellent computer skills, Excel, Word skills;
  • Flexibility and openness to change.
