The Grants and Reporting Officer is a vital member of the HEKS/EPER Grants Unit, primarily responsible for supporting donor reporting, ensuring adherence to donor requirements, and managing donor-related deadlines. This role will report directly to the Grants Manager and collaborate closely with the entire Grants Unit to support high-quality project management and partnership management.

Key Responsibilities:

1. Reporting and Compliance:

  • Manage the preparation and submission of high-quality donor reports, ensuring compliance with content and formatting requirements.
  • Monitor reporting deadlines and coordinate with relevant teams to ensure timely submissions.
  • Support in preparing for audits and maintain grants documentation.
  • 2. Proposal Development:

    • Assist in the preparation and formulation of project proposals, contributing to high-quality submissions.
    • Review and provide feedback on proposals to ensure alignment with donor expectations and organizational goals.

    3. Partner Management:

    • Support the management of relationships with implementing partners and sub-grantees.
    • Assist in capacity-building initiatives for partners to enhance reporting quality and compliance.

    4. Fundraising and Strategic Support:

    • Assist in the development of fundraising strategies, including creating tools like donor mapping.
    • Conduct research related to potential donors and funding opportunities to support the organization's strategic goals.

    • Develop internal and external communication documents related to grants and reporting.
    • Participate in creating training materials and conducting sessions for staff.
    • Manage the dissemination of information about the organization's activities and achievements.

    6. Documentation and Knowledge Management:

    • Achieve and maintain organized records of proposals, reports, and compliance documentation.
    • Collaborate with team members to develop SoP and procedures for the Grants Unit.

    Qualifications:

    • University degree in Project Management, International Development, Social Sciences, or a related field.
    • Proven experience in the humanitarian sector, preferably within NGOs.
    • Familiarity with donor regulations and requirements.
    • Excellent writing skills in English and Ukrainian; proficiency in additional languages is an asset.
    • Strong organizational, analytical, and planning abilities.
    • Ability to work autonomously and adapt to changing circumstances.
    • Strong interpersonal skills and ability to work in a multicultural team.
