With over $15bil AUM and a successful 20+ year track record, this is an incredible opportunity to build a long-term relationship with the Founder and play a pivotal role in the firm. Provide day-to-day support to ensure the Executive is set up for success by managing his busy schedule, aligning priorities, and coordinating complex travel from end to end. Someone who will proactively anticipate needs, has polished communication skills, and can collaborate closely with the Executive’s Personal Assistant, Chief of Staff, and other members of the team. 8-10+ years supporting senior-level Executives ideally in a venture or similar environment is required. This is an in-office role with a preference for someone to join them in their New York office but they are also open to Chicago. Travel will be required as needed. 175-230K+ DOE + excellent health benefits for employees & dependents, bonus, 401k, lunch reimbursement everyday, and generous PTO Responsibilities:Manage Founder/CEO’s busy calendar, being mindful of shifting priorities and daily schedule. Ensuring that all details are reflected and materials are provided ahead of time. Review the schedule with the Executive day ahead for any changes. Collaborate with other EAs on the team to ensure seamless calendar alignment as necessary for other leadership members.Schedule and organize complex meetings, conference calls, event appearances, and travel itineraries. Communicate last-minute changes to the CEO and all involved parties as needed.Prepare complex travel itineraries and manage the entire travel process. Ensure logistics for travel (including flights, accommodations, transportation, etc.) are outlined in detail. Private travel, FBOs, and plane coordination.Collaborate with the CEO’s Chief of Staff, Security Program Manager, Air Operations Team, and Personal Assistant to ensure proactive communication and alignment for all schedules and travel - both business & personal).Proactively anticipate the Executive’s needs throughout the day, remain ahead of developing issues, and demonstrate problem-solving skills through teamwork and collaboration across the firm.Possess and consistently deliver a high degree of professional maturity, focus, discipline, and values alignment (Humility, Integrity, Responsibility, Excellence) while engaging with CEO, and working with Office of the CEO personnel, executives/employees, and all persons within the CEO’s professional and personal network.Effectively handle multiple deadlines, navigate competing priorities, and be assertive with the CEO and other leadership members to ensure the team adheres to deadlines while managing short and long-term priorities.Work with household staff to seamlessly integrate personal life and work life in coordination with the Personal Assistant.Qualifications: 10+ years of experience in an Executive Assistant role supporting senior-level executives, preferably in a venture or similar environment. Possess outstanding verbal and written communication skills.Highly focused and results-oriented. Ability to support complex, deadline-driven operations while also being able to identify goals and priorities and resolve issues.Expertise in travel booking for both domestic and international travel. Proven track record of successfully planning and managing private travel arrangements.Highly developed organizational and time management skills to prioritize workload and meet time-sensitive deadlines. Be able to work under pressure and time constraints.Strong ability to handle multiple competing priorities and work across the firm at all levels to ensure the highest level of professional support to the CEO.Demonstrate a high level of attention to detail and strive to deliver excellence.Maintain strict confidentiality and discretion with sensitive information.Highest degree of professionalism and a strong ability to work in a team environment.Skilled at building strong and productive relationships.
