The IRC's Economic Recovery and Development Program ensures that clients meet their short- and long-term economic needs through sustainable and ethical programs such as, but not limited to, cash and voucher transfers, food security promotion, climate-smart agro-pastoral production and enterprise development and employment promotion.

JOB OVERVIEW
The Executive Assistant is a senior support staff member responsible for a wide range of administrative and support services for Senior Management Team (SMT) in Ukraine consisting of 6 members. He/she will maintain excellent management and communication systems to enable the Ukrainian senior management team to perform at the highest possible level. He/she reports to the Regional Director in Ukraine and works closely with all other members of the SMT Group. The position will be based in Kyiv, but may involve travel to other IRC field offices in Kharkiv, Dnipro and Odesa to provide support to members SMT as needed.


KEY RESPONSIBILITIES
Administrative

- Organization of all meetings where a member of SMT is the initiator and organizer, including coordinating and setting the agenda, keeping notes and monitoring the implementation of action plans as necessary.

- Provide assistance in organizing business trips of members SMT, incl. support the administrative department in booking tickets, accommodation, preparing TAF, TER for members of the SMT.

- Coordinate attendance schedules of programs and provide logistical support as requested. 

- Assist in the organization of events, including quarterly SMTand ESMT (Extended Senior Management Team), includingbooking venues and ordering catering in coordination with the supply department/administrative department, preparing the agenda, ordering office supplies and necessary materials, etc. 

- Be available to perform and assist with other administrative tasks as requested by the SMT member .

Communications 

- Assist with the preparation of internal and external communications on behalf of member SMT.

- Translate electronic correspondence into English and /or in Ukrainian languages, to ensure proofreading of translated e-mails before sending on behalf of the SMT member.

- Provide personal translation into English for SMT members, if necessary, at meetings or events held in Ukrainian. 

- Professionally and diplomatically represent the IRC domestically and internationally when necessary.

- Support in the preparation of presentations, reports at the request of the SMT member.< br/>

Project Management 

- Identification of gaps and management of improvement of systems/processes with in order to improve the efficiency of interdepartmental work in the country. 

- Assist with other departmental needs and special projects under the direction of the Regional Director in Ukraine.

Requirements for candidates
Education:Bachelor degree in business administration, marketing , international relations or in any related field. 

Work experience: 3-4 years of work experience in a similar position, preferably in the INGO environment

- Strong communication and interpersonal skills: demonstrated ability to work effectively within a large, complex organization, both horizontally, and vertically, as well as to communicate diplomatically with different people in a multicultural environment; 

- Excellent organinnovative abilities: the ability to work independently in a fast-paced, detail-oriented environment and effectively organize the work process of a fast-changing team; experience in a matrix structure is preferred; 

- Critical and out-of-the-box thinking;

- Proven attention to detail: ability to track and process multiple details simultaneously and accurately ; 

- Flexible attitude to work: ability to work productively in a team and independently, adapt to changes and uncertainty;

- Reliability and the ability to keep confidential information; 

- Computer skills: the ability to effectively and accurately work with MS Outlook, Word, Excel, PowerPoint, as well as adapt to new applications. 

- Strong visual skills: ability to assist in the preparation of charts and graphs in Excel and PowerPoint; 

- Writing and editing skills: the ability to compose and edit professional documents and correspondence in English and Ukrainian;

Language: - Fluency in English and Ukrainian is mandatory.
