GENERAL INFORMATION
BF "Right to Defense" (hereinafter - the Fund) is a sector leader in the protection of people who have suffered from war, veterans, refugees and stateless persons. We seek recovery and integration for those we help. Our team protects people's rights and influences laws and decisions in Ukraine and the world to become fairer. We are actively developing a network of partners for localized support of those who need it. The fund is 13 years old. Today, the team of BF "Right to Defense" has about 1,200 specialists. Geography: 22 regions of Ukraine, as well as a representative office in Poland. More than 3,300,000 people have received aid since the start of the full-scale invasion. Our work was recognized at the national level: in 2024, the Foundation won first place in the "Charity Ukraine" competition in the "All-Ukrainian Charity" category, entered the top 10 of the Forbes Ukraine "50 Best Charitable Organizations" rating, and took 9th place in the integrity rating of Ukrainian charitable foundations.
Data Manager is responsible for the organization of quality data management in the Fund's projects: maintains databases of beneficiaries and activities, ensures correctness, completeness and timeliness of data entry, conducts deduplication and cleaning of databases, prepares analytical summaries, and also ensures preparation of tables/data for donor reporting. The position involves constant interaction with the MEAL team, program teams, project managers/coordinators and other involved units.
The position involves the possibility of remote work.
DUTIES AND LIABILITY
1. Management of databases and data collection tools
Administers and maintains project databases (Google Sheets/Excel/CRM/other systems) according to project needs.
2. Data Cleaning & Deduplication
Performs regular deduplication of beneficiaries/records (according to agreed rules of uniqueness: phone/name/ID/combinations fields).
Prepares and maintains two versions of the database as needed:clean with duplicates/comments marked. font-style: normal; text-decoration: none">Documents the rules, exceptions and the "justified duplicates" approach (for example, the same phone in the family).3. Data Quality Assurance (Data Quality Assurance)
Implements basic quality control procedures: completeness, timeliness, consistency, validity, logical checks.
Formats brief summaries about the quality of the key fields, number/types of duplicates.
Initiates brief instructions/reminders when necessary.4. Analytics and summary reports
Prepares analytical tables and summaries (pivot tables, aggregated sections, trends by periods/locations/disaggregations).
Supports the preparation of dashboards/visualizations (Looker Studio/Sheets/other tools) in terms of data and its structure.
Ensures provision of data for internal needs of programs and MEAL (progress monitoring, sampling planning, coverage verification).5. Donor and project reporting (Data for Reporting)
Fills or prepares data for donor reporting tables (according to agreed formats and deadlines).
Develops/updates instructions and short SOPs/guides for working with databases, deduplication, data structures, beneficiary identification rules.
Participates in the development of organizational data management standards and approaches to information security (within the role).
If possible, offers automation solutions (for example: Power Query, standardized validations), taking into account the realities of data quality and availability.
Set up and maintained project database system: up-to-date registers/databases (CRM/Sheets/Excel) with a standardized structure of fields, disaggregations, directories and validation logic; defined beneficiary identification rules (ID/OKB/CRM ID).
Regular deduplication and "cleaning" of data: every month (or according to an agreed schedule), clean and with duplicates versions of the database are prepared, with transparent notes about "reasonable duplicates" and a documented uniqueness methodology.
Data Quality Assurance: implemented and working completeness/timeliness/consistency/validity checks; monthly short DQA report/summary (key errors, % of critical fields filled, number of duplicates, progress in corrections) and coordinated corrective actions with teams.
Prepared analytical summaries and slices for management decisions: regular pivot/aggregations by periods, locations, programs and disaggregations; prepared datasets for MEAL/programs (coverage, progress, sample structure, uniqueness check).
Timely prepared data sets for donor reporting: donor tables are filled in the agreed format and deadlines; monthly/quarterly reporting packs (files, tables, explanations of indicators) are prepared.
Supported dashboards and reporting tools: Current data sources for Looker Studio/Sheets; automated or semi-automated updates where possible (Power Query/templates/scripts).
Documented standards and instructions: updated/created short data management SOP/guide (base structure, data entry rules, deduplication, access rules, minimum DQA) used by teams in practice.
PROFESSIONAL REQUIREMENTS
Higher or secondary specialized education in the field of statistics/IT/sociology/economics or other - provided that there is proven practical experience in working with large data sets.
Minimum 2 years of experience in the field of data management / data analytics / database administration.
Experience in humanitarian/development projects is an advantage.
Proficiency with tools: KoboToolbox, Google Spreadsheets/Excel, Power Query; experience with Looker Studio is an advantage.
Understanding the principles of data quality, deduplication and basic approaches to personal data protection.
Strong analytical skills, attention to detail, ability to work with deadlines and concurrent requests.
Communication skills and the ability to explain technical things in simple terms.
English is an advantage (for working with donor formats/templates).
Understanding and following the Code of Conduct and other policies of the Fund.
