This role is a critical link between the sales team, contract operations, and the broader commercial operations team, ensuring all sales deals are accurately captured, validated, and processed in a timely manner. The ideal candidate will have excellent attention to detail, strong communication skills, and the ability to work effectively across multiple stakeholders and systems.
Key Responsibilities
Deal Data Management & Entry
- Engage with sales representatives to gather complete and accurate details of ongoing and upcoming deals.
- Review, interpret, and validate responses from sales questionnaires related to deal submissions.
- Accurately input and update deal information into the CPQ (Configure, Price, Quote) system, Salesforce, and other internal platforms.
- Maintain data consistency across systems, including DV deals databases, approvals trackers, and deal lifecycle tools.
- Ensure all required documentation for custom and standard deals is collected, validated, and stored.
- Manage and track deal statuses from initial request through approval, signature, and activation.
Cross-functional Collaboration
- Collaborate with the Contract Operations team to assess deal feasibility, pricing alignment, and compliance with company policies.
- Partner with the sales team to clarify missing or incomplete information to avoid processing delays.
- Coordinate with finance, legal, and operations teams on deal approvals and exceptions.
- Participate in regular deal desk meetings to align on priorities, bottlenecks, and system improvements.
Process Compliance & Quality Control
- Ensure deal entries meet internal policy, pricing guidelines, and approval rules.- Flag inconsistencies, missing data, or potential risks before deal submission.
- Support the implementation of best practices for data accuracy, standardization, and system hygiene.
- Assist in training sales team members on required fields, formats, and deal desk procedures.
Reporting & Analysis
- Generate and maintain deal tracking reports and dashboards for management review.
- Monitor and report on deal approval timelines, accuracy rates, and process compliance.- Identify recurring data issues and suggest process improvements to reduce errors.
General Data Entry & Administrative Support
- Perform regular audits of CPQ, Salesforce, and deal desk records to ensure data integrity.
- Support bulk data uploads, clean-ups, and migrations when required.
- Maintain organized records of approvals, agreements, and deal-related communications.
Requirements
- Proven experience in data entry, deal desk, sales operations, or contract administration.
- Strong working knowledge of CPQ tools, Salesforce, and other CRM/sales systems.
- Exceptional attention to detail and accuracy in data entry.
- Ability to interpret sales and contract data, ensuring correct system input.
- Strong communication and interpersonal skills to work with multiple teams.
- High level of organizational skills with the ability to manage multiple deals simultaneously.
- Proficient in Microsoft Excel/Google Sheets for data analysis and reporting.
