Key tasks in the position:
  • Build and regularly update calendar plans (WBS, milestones, dependencies) and collect actual progress from those responsible
  • Keep a register of assignments and tasks (action log), monitor deadlines, remind, fix statuses and escalate deviations to the project manager
  • Maintain the project budget: collect a plan/fact, keep a register of expenses and payments, prepare a summary of deviations and comments within the limits of the approved rules
  • Form specifications and document packages for purchases based on the requirements of specialized specialists (architect, engineers, IT, operation, etc.), control versioning and completeness
  • Ensure document flow in the project: register of contracts, acts, invoices, letters, drawings and protocols; version control and storage structure
  • Organize project meetings: agenda, list of participants, preparation of materials; record the decision and send the protocols in the agreed term
  • Assist with the approval of project documents (internal agreements, lessor/mall, contractors): control of the route, deadlines, obtaining signatures/visas
  • Prepare standardized reporting on the project (weekly/monthly statuses, plan-fact, register of risks/issues, register of changes, register of purchases) according to approved templates
  • Support the completion of the project: collection and structuring of the final package of documents, archiving and transfer of materials to the relevant departments
We expect from you:
  • Education: higher (technical/construction/engineering) or management
  • Experience: 2+ years in civil or commercial construction as a coordinator/administratorprojects/VET/document flow
  • Understanding of basic project management approaches (plan structure, milestones, performance control, plan-fact)
  • Knowledge of construction production technology at a basic level and the ability to read construction drawings
  • Knowledge of regulatory documents regulating design and construction activities; basic understanding of DBN and DSTU
  • Readiness for business trips to the regions of Ukraine (as needed by projects)
  • Ability to build working communication with both construction specialists and business customers (operations, marketing, IT)
Knowledge and skills:
  • MS Office / Google Workspace at a confident level, especially Excel/Sheets (registers, fact sheet, summaries, filters/pivot tables)
  • Planning tools: MS Project / Primavera / Spider Project (or similar) - updating the fact, basic analysis of deviations, control of milestones
  • Task managers and team tools: Jira/Trello/Asana (or similar), Teams/Slack
  • Storage systems and document version control: SharePoint/Google Drive/Confluence (or similar)
  • CAD at the basic level (AutoCAD/Archicad): measure areas and dimensions, work with scale, print/export to PDF
 Personal qualities:
  • Attention to details, systematicity and discipline in keeping registers and documents
  • Ability to work with a large amount of information and parallel tasks
  • Proactivity in communications and the ability to correctly control deadlines
 Will be a plus
  • Experience of participation in projects of construction or reconstruction of cinemas
  • Experience of participation in fit-out/construction projects in shopping and entertainment centers
