The organization "Man in Need" has been operating in Ukraine since the beginning of August 2014, and since then, humanitarian programs have been rapidly expanding. At this time, "Lyudyna v bidi" is one of the main humanitarian organizations in Ukraine that provides neutral and independent humanitarian assistance to people affected by the conflict.

General information about the employee role:
Under the overall direction of the Head of Program Implementation, the Program Administration Specialist provides administrative and organizational support to program leadership, emergency program managers, and program teams.
The position is aimed at ensuring effective coordination of internal processes, organization of document flow, translation, support of business trips and other duties described below.
Description of general responsibilities:
Administrative support of program management:
Providing administrative support to the Head of the Program Implementation Department;
Supporting emergency assistance program managers in organizing meetings, coordinating requests and document flow
Organization and coordination of internal meetings of program teams (booking of premises, preparation of materials upon request);
Maintenance of minutes of meetings (if necessary) and control of administrative tasks;
Preparation of official memos, letters, internal correspondencesponsorships at the request of management;
Coordination of signing documents of the program direction.
Help in organizing program events, trainings and work meetings;
Ensuring correct storage of program documentation in the electronic archive;
Interaction with other departments (HR, Finance, Logistics) in terms of administrative coordination of program processes.
Interpretation during meetings (if necessary);
Checking and editing translated materials.
Coordination of signing and transfer of documents related to business trips;
Interaction with Finance regarding the preparation of accompanying documentation;
Control of the timely return of documents after the end of a business trip.
Experience by profession:
Experience in an administrative, coordination or office position will be an advantage.
Necessary knowledge:
Fundamentals of document management and administrative support;
Understanding the program activities of a humanitarian organization;
Principles of working with confidential information;
Proficient in MS Office (Word, Excel, Outlook);
Skills and qualities required:
High level of organization and attention to detail;
Ability to work with a large amount of information;
Ability to prioritize and meet deadlines;
Developed communication skills;
Stress resistance and flexibility;
The ability to work with several requests at the same time.
